The customer feedback audit

Find where feedback lives, how it changes hands, and where the original context gets lost.

A 30-minute team exerciseBy Triyan Arif Wibowo

Read and use the complete guide below. No email required. This resource is original portfolio content for a fictional product.

Start with a decision you need to make.

Choose one upcoming decision: an onboarding improvement, a support workflow, or a research question. An audit is easier to complete when it follows a concrete decision rather than trying to map every source at once.

Invite someone who collects the feedback and someone who uses it. Open a recent example and follow it from the original record to the latest discussion. Use anonymized or synthetic material when sharing outside its intended group.

Map the evidence path.

Use the worksheet below for each source type. Record the current process before discussing new tools. A spreadsheet with explicit ownership is more useful than a diagram nobody maintains.

Where does it arrive?Which task was attempted?Who reviews it next?
Who owns access? When was it recorded?Where is the decision stored?

Check the weak links.

Tick each item you can demonstrate with your chosen example. These checks stay in this browser view only; they are not saved or sent. An unchecked item is a discussion point, not a failure score.

Use unchecked items to choose your next team discussion.

Choose one change you can sustain.

Pick the smallest recurring gap that affects your selected decision. Write down an owner, the proposed change, and a review date. For example: preserve a source link in every discovery note, or name the next reviewer when an account concern moves to product.

Repeat the audit after the next review cycle. Ask whether another team member can follow the same evidence path without asking the original author to explain it.

Your output: one mapped example, one ownership gap, one practical change, and a date to inspect it again.
